Position: Archive and Record Clerk
The Archive and Record Clerk is responsible for recording, archiving, safeguarding, and disseminating internal and external documents, correspondence, and reports. The position ensures a proper filing and archiving system that allows easy access to documents while maintaining data security and accuracy.
Job Specifications
- 10+3 or Level IV Diploma in Secretarial Science & Office Management, Management, or related fields with 0 years of experience, OR
- 10+2 or Level III Certificate in Secretarial Science, ICT, Records Management, or related fields with 2 years of relevant experience
Duties and Responsibilities
- Receive, record, distribute, and control incoming, outgoing, and internal documents
- Ensure documentation procedures comply with established systems and standards
- Organize and arrange files systematically by type and source
- Control the issuance and return of files and documents
- Maintain up-to-date records and ensure document safety and confidentiality
- Keep records of contracts and operational data
- Coordinate with directorates to manage and update filing systems
- Prepare periodic summaries, statistical reports, and file histories
- Maintain logbooks for incoming and outgoing correspondence
- Follow up on external correspondence requiring responses
- Manage clerical tasks and ensure timely and consistent data management
- Support preparation of annual work plans, budgets, and activity reports
- Ensure proper document handover with acknowledgment signatures
- Perform other related duties assigned by the immediate supervisor
