JOB POSITION & REQUIREMENTS

Position:1 Secretary

Qualifications


➠ Bachelor’s degree in Business Administration or related field.
➠ 1+ years of experience as a secretary, preferably in a similar environment.
➠ Proficient in Microsoft Office Suite.
➠ Strong organizational and communication skills.
➠ High professionalism and attention to detail.

Key Responsibilities

1.Administrative Support

➠ Manage day-to-day office operations, including handling phone calls, emails, and correspondence.
➠ Provide administrative support to executives and managers, including preparing documents, reports, and presentations.
➠ Organize and maintain files, records, and databases in an efficient and easily accessible manner.

2.Scheduling & Calendar Management

➠ Coordinate and manage appointments, meetings, and travel arrangements for executives and staff.
➠ Ensure that all meeting agendas, minutes, and materials are prepared and distributed in a timely manner.
➠ Keep executives informed of upcoming commitments and follow up on deadlines and action items.

3.Communication

➠ Serve as the point of contact between internal departments, clients, and external partners.
➠ Screen and direct incoming phone calls, emails, and inquiries to appropriate parties.
➠ Draft and proofread letters, emails, and other correspondence on behalf of the company.

4.Meeting & Event Coordination

➠ Organize and schedule meetings, conferences, and events, including preparing materials, booking venues, and arranging catering if needed.
➠ Take detailed meeting minutes, track action items, and follow up on progress.

  1. Document Management

➠ Prepare, edit, and format documents, presentations, and spreadsheets for internal and external use.
➠ Ensure all documents, contracts, and correspondence are accurately filed and stored both physically and digitally.
➠ Handle confidential information with discretion.

6.Travel Arrangements

➠ Plan and coordinate domestic and international travel, including booking flights, hotels, and transportation.
➠ Prepare travel itineraries and ensure all necessary travel documents, visas, and expenses are in order.

7.Office Supplies & Inventory

➠ Maintain an inventory of office supplies and equipment, placing orders as necessary to ensure efficient operation.
➠ Oversee maintenance of office equipment and liaise with vendors for repairs or replacements.

8.Client Relations & Support

➠ Assist in handling client inquiries, scheduling meetings, and managing follow-ups with clients.
➠ Ensure excellent customer service by maintaining positive relationships with external stakeholders.

9.Task Prioritization & Multitasking

➠ Assist with ad hoc tasks and projects, ensuring they are completed within deadlines.
➠ Prioritize multiple tasks effectively, adapting to changing priorities and organizational needs.

Preferred Skills


Experience :- supporting senior executives.
➠ Familiarity with industry-specific software.
