The role also supports the smooth and professional operation of the office and assists with government, immigration, and external stakeholder requirements.
Duties and Responsibilities
The Administrative Officer will be responsible for:
- Maintaining a professional, clean, attractive, and well-organized reception and office environment.
- Scheduling and coordinating meetings, appointments, interviews, workshops, retreats, and other HR events.
- Attending meetings, taking minutes when required, and following up on agreed actions.
- Managing and maintaining HR, government, non-government, and other official files and correspondence.
- Ensuring documents are properly filed and easily retrievable.
- Maintaining proper control of reception files and tracking documents borrowed from files until they are returned.
- Assisting the HR Department in organizing and scheduling interviews.
- Preparing and sending official correspondence to government and non-government organizations as required.
- Preparing and sending visa invitation letters for visitors coming to Ethiopia.
- Coordinating with government offices and external agencies regarding immigration, work permits, residence IDs, and other related matters for expatriates and other employees.
- Following up on the renewal of business licenses and other important company documents.
- Arranging flight bookings and hotel or accommodation reservations for staff and visitors.
- Coordinating timely settlement of travel and accommodation-related payments.
- Preparing and submitting reports on flight and hotel expenses and payments to the HR Manager.
- Receiving, sorting, and distributing incoming mail, deliveries, and courier items.
- Answering, screening, and directing incoming calls while providing basic information when required.
- Maintaining and regularly updating the internal contact list.
- Following up on monthly phone, EVDO, Wi-Fi, and other related bills to ensure timely payment.
- Coordinating stationery requirements and following up with Procurement to ensure timely availability.
- Ensuring adequate printing paper, printer cartridges, and other office supplies are available for internal users.
- Monitoring the functionality and maintenance of common printers and photocopiers.
- Providing general secretarial and administrative support to the HR Department and management.
- Performing other relevant duties as assigned.
